MVSRA President Job

(Job descriptions are subject to change upon seating of new 2023/2024 Board members)


Must be a trustworthy, ethical, “team player” with a “CAN DO” attitude, who loves tennis, is familiar with the USTA organizational structure and programs, understands the role and purpose of a Mountain View Sports & Racquet Assoc. (MVSRA) and has a “Big Picture” vision for promoting and developing the growth of tennis in the underserved communities

● At least five years of tennis experience (tournaments, leagues, professional instruction, et al.)

● Well organized, with multi-tasking skills, and a willingness to work some weekends.

● Experience in leadership and management of office staff with good interpersonal skills.

● Computer Skills (Outlook, Word, Excel, Power Point, Quick Books).

● Hands-on, budget management skills, including budget preparation, analysis, decision-making and reporting.

● Experience with non-profit environment; prefer management experience

● Maintain the integrity of MVSRA in conjunction with the Mission Statement, as defined by the Board of Directors

● Assist the Board of Directors in long-range planning and goal setting.

● Work with the Treasurer to prepare annual budgets and provide quarterly financial reporting to the Board of Directors

● Recognize member customer service as the first priority and encourage ongoing awareness and education of staff t

● Adhere to the MVSRA Employee Policy according to the Bylaws

. ● Manage the office and staff, and create an atmosphere of harmony among staff members and between staff and Board of Directors.

● Hold regular staff meetings to ensure a working understanding of other staff member’s functions and responsibilities, and promote continuing education opportunities for staff and Board.

● Keep the Board of Directors apprised of the business of MVSRA, the USTA and the San Diego Tennis Community.

● Ensure that Board directives are being carried out and that committees and staff members are working together.

● Oversee all MVSRA programs and events.

● Promote MVSRA and the sport of tennis to the community.

● Help to secure sponsorships for MVSRA juniors

● Be familiar with the MVSRA website, making sure it remains up-to-date on upcoming events and activities.

● Maintain a professional and effective working relationship with the USTA and with SCTA

● Be knowledgeable of potential grants for MVSRA and stay current on qualifications and filing of appropriate applications.

● Create a harmonious relationship among CTA representatives, club owners, managers, and tennis professionals.

● Attend training and education workshops including the USTA SCTA Annual, Semi Annual and Community Development Meetings.

● Serve as the main point person for the MVSRA Annual Membership Awards

● Supports San Diego Parks & Recreation Initiatives

● Fundraising experience


MVSRA Vice - President 


● Vice presidents serve as a key presidential advisor, governing partner, and representative of the president

● Working with the board of directors and board of governor to ensure the vice president plans, develops and enforces policies and objectives for the organization to ensure it maintains its values and meets established goals

● Assist with assigning staff members to coordinate fundraisers, community events and other programs to create

Facilities Director


o The Director of facilities is a volunteer within the MVSRA Board of Governors overseeing all maintenance activities in regards to the property

o Manages all of the maintenance for the tennis courts and clubhouse

o Ensures that all operations are in compliance with the Occupational Safety and Health Administration

o Oversees all external vendors such as Portal Potty & Water Dispenser, etc.

o Advises MVSRA’s Officers and Board of Governors on workplace safety issues. Purchases materials needed via voucher system, handles court and equipment repairs, and court/clubhouse repairs

o Recruits, manages and recommends terminations of the facilities staff

o Maintains Key List, distributes keys for clubhouse and external gates to staff as needed appropriately

o Facility staff should inform the Facility Director when he will be absent from work. Facility Director ensures courts and bathrooms are serviced for that day.

o Recruits’ members to help prepare/dry courts on rainy days

Events

o Ensures and assist with set up and removal of tents, tables, chairs, draw board, extra trash cans, ext. cords, ice chest, tennis balls

o Ensure external gates are accessible for events including gates near restrooms by 7:30 am and locked at the close of business

o Ensures scorecards are in good condition and are all there.

o Ensures single sticks are placed on all courts

o Ensures cleans and serviced restrooms prior to event and stays that way throughout event. Please ensure we have extra toilet paper and seat covers to last throughout the week-end.

o Ensures facility staff cleans courts and have them ready for play for special events & leagues, WTT, and especially rainy days prior to event

o Maintains nets according to USTA standards, checks and ensure nets are in good condition (no holes) prior to event

o Facility Staff needs to be available for opening and closing of events.

MVSRA Recording Secretary 


• Record Minutes and the Roll at Meetings - The secretary should review the minutes and distribute them to the full board of directors ideally within 48-hours of the meetings, but no later than 7 days after the meeting. Thereby ensuring that board members can review minutes while the meeting conversations are still “fresh” in their minds. Manages and oversees the management of the financial affairs of the organization

• Maintain records - The secretary should be prepared to call attention to policies and procedures during board meetings and decision-making processes to ensure that the board is transparent, ethical, and compliant

• Record and distribute board meeting minutes

• Maintain accurate records – preserve a secure location online that is approved by the board or that the secretary utilizes a file sharing system to store and distribute digital records

• Schedule regular board meetings via zoom, Sends out meeting invites and reminders

• Ensure board contact information is up-to-date

• Hold members accountable (absences should be reported to secretary)

• Track board member terms

• Orient New Board Members.

MVSRA Treasurer 


• Manages and oversees the management of the financial affairs of the organization

• Responsible for, all funds and securities of the corporation, and deposit all such funds in the name of the corporation in such banks selected by the Board of Directors.

• Receive, and give receipt for, monies due and payable to the corporation from any source whatsoever.

• Disburse, or cause to be disbursed, the funds of the corporation as may be directed by the Board of Governors, taking proper vouchers for such disbursements.

• Receives and reconciles bank statements

• Incoming checks should receive preferably bank stamp “For Deposit Only” and deposited within a week

• Outgoing checks must be supported by a voucher or receipt from fellow volunteers’ reimbursement

• Prepare monthly financial reports, reports should be sent to board members one week prior to meeting

• File 990 – except churches and certain religious organizations, all nonprofits must file Form 990 annually, this can be contracted out

• Files 1099 for non-employees / independent contractor (contracted)

• Register with state charitable organizations annually

• Pays all the Bills / invoices

• Sends a prompt thank you letter that includes what donors need for tax purposes

MVSRA Junior Development Coordinator


• Ensures MVSRA is offering comprehensive tennis, social and educational tennis programs for children under age 19 years of age, and instructional recreational and competitive tennis program for all skills

• Acts as a liaison between the Junior Tennis Program, parents and the Board of Directors

• Requires knowledge of basic computer programs such as Word and Excel and other skills such as typing and business communication.

• Attends the monthly board meetings who will meet once monthly on the second Wednesday of every month,

• Helps coaches with grant scholarship disbursement/ coaching fees, Junior Tennis Team fees & recruitment

• He/she is responsible for coordinating all junior programs such as promoting, marketing, participation, record keeping, etc. Works closely with Administrative Assistant

• Responsible for billing Morse High School, must follow up to payment verification, works closely with Morse Coach to ensure the team matches and practices goes smoothly

• Assist with promoting Junior tournaments and Family Tennis Day

• Reports to President.

• Assist and supports with finding and creating grant proposals

• Assist with planning and organizing Jr. club events and fundraisers as needed 

MVSRA Membership Chair


• Shall establish and maintain the official membership database

• Provide regular reports to the Board of Governors regarding the number of members in each category

• Maintain an adequate supply of membership application forms, revising them as necessary

• Emails invoices for membership renewal

• Responsible for the collection of annual dues.

• The Membership Chair shall conduct annual membership drives / activities to promote membership

• Promotes membership and publicize the corporation through, press releases, brochures, or media exposure
